This Privacy Policy explains how the Youth Vision for Society Association collects, uses, stores and protects the personal data of people who access the website. www.yvs.ro, participate in our activities or interact with us regarding the association's projects, events and initiatives.

The protection of personal data is important to us. We aim to process as little data as possible, only when necessary, in a transparent, proportionate and secure manner.

2. About the website yvs.ro

Website www.yvs.ro is a presentation site of the Youth Vision for Society Association. Through the site we publish information about the organization, projects, activities, news, events, resources and opportunities for involvement.

In its current form, the site does not allow the creation of user accounts, does not include comment sections, and does not collect personal data through its own contact forms.

In some cases, we may use external forms, such as Google Forms or similar tools, to register for events, activities, workshops or projects. In these cases, interested parties will receive specific information in the respective form or on the event page.

3. What personal data can we process?

Depending on how you interact with us, we may process the following categories of data:

3.1. Technical data generated when accessing the site

When you visit the site, certain technical data may be automatically generated, for example: IP address, browser type, device type, operating system, pages accessed, date and time of access, duration of visit, traffic source and other similar technical information.

This data may be used for the operation, security and administration of the site, as well as, where applicable, for aggregate statistics on the use of the site.

The site may use cookies strictly necessary for its operation, as well as analysis cookies, if they are enabled.

The site currently uses Google Analytics to obtain statistics on how visitors interact with the site. These statistics help us understand, on an aggregate level, which pages are accessed, what type of content is useful, and how we can improve the association's public communication.

The use of cookies is detailed separately in Cookie policy, available on the site. Cookies that are not strictly necessary for the operation of the site will be used only under the conditions provided for by applicable law.

3.3. Data collected for registration for events or activities

When the organization opens registrations for events, workshops, tours, educational, cultural or community activities, we may collect, depending on the context, the following data: name and surname, email address, telephone number, organization/institution, age or age category, locality, field of interest, logistical preferences or other information relevant to participation in the respective activity.

We will not request data that is not necessary for the organization of the activity. The phone number will only be requested when necessary for logistical coordination or rapid communication with participants.

For minors, we will avoid direct collection of personal data whenever possible. When participation by minors involves registration, parental consent or logistical communication, we will collect only the data strictly necessary and will pay special attention to protecting their identity and image.

3.4. Data regarding participation in events and photo-video materials

During events, projects or public activities organized by the Youth Vision for Society Association, photographs and video materials may be taken to document, archive, promote and report on the association's activities.

These materials can be published on the yvs.ro website, on the association's social media pages, in activity reports, communication materials, press releases, materials for funders or other similar materials related to the organization's activity.

In general, we try to use overviews, atmospheric shots or images where people are not exposed in an intrusive way. In the case of minors, we pay particular attention to protecting their image and avoid publishing photos where children's faces are clearly visible, except in situations where there is appropriate consent and a legitimate justification for publication.

If an identifiable person appears in a photo or video we publish and would like to have that image removed or anonymized, they can contact us at office@yvs.ro, and the request will be analyzed in accordance with applicable legislation.

3.5. Data transmitted directly via email or other communication channels

If you contact us by email, phone, social media or other channels, we may process the data you voluntarily provide to us, such as your name, surname, email address, telephone number, organization, function or the content of the message.

This data is used to respond to requests, manage communication with you, or continue a collaboration, if applicable.

4. The purposes for which we process the data

7. Who can access the data

Personal data can be accessed, as appropriate, by:

Youth Vision for Society Association team members who need this information for the organization's activities;
collaborators or volunteers involved in the organization of events, only to the extent necessary;
technical providers involved in site administration, hosting, maintenance, security, email, forms or web analytics;
service providers such as Google, in the case of using Google Analytics, Google Forms or other similar services;
project partners, only when necessary for the organization of the respective activity;
funders, auditors, public authorities or other institutions, when there are legal, contractual or reporting obligations.

We do not sell personal data or transmit personal data to third parties for commercial purposes.

8. Hosting and technical administration of the website

The yvs.ro website is hosted on a private server.

The technical administration of the site and the server can be carried out by persons authorized by the Youth Vision for Society Association or by technical collaborators/suppliers who ensure the operation, security, maintenance, updating and protection of the site.

These individuals may have limited access to technical data, logs, backups or other information necessary for the operation and security of the site. Access to this information is limited to what is necessary for the technical administration of the site.

9. Transfers outside the European Economic Area

The Youth Vision for Society Association aims to limit data processing to what is necessary for the operation of the site and the conduct of the organization's activities.

However, certain external services used by the site or organization, such as Google Analytics, Google Forms or other similar digital tools, may involve data processing by international providers and, under certain conditions, data transfers outside the European Economic Area.

In such cases, transfers will only take place under the conditions provided for by applicable data protection legislation, through mechanisms such as adequacy decisions, standard contractual clauses, recognized transfer frameworks or other applicable legal safeguards.

10. How long do we keep data?

We retain personal data only for as long as necessary for the purposes for which it was collected or as long as we have a legal, contractual or reporting obligation.

Indicative:

the technical data and security logs of the site are kept for the period necessary to administer and secure the site;
the data collected for event registration are kept for the duration of the event and subsequently for the period necessary for reporting, evaluation, audit or fulfillment of obligations towards funders;
data from financial and accounting documents or supporting documents are kept according to the applicable legal deadlines;
correspondence sent by e-mail may be kept for the period necessary to manage the request and, where appropriate, to protect the association's legitimate rights and interests;
Photo-video materials can be kept in the organization's archive as long as they are relevant for documenting the association's activity, while respecting the rights of the data subjects.

When the data is no longer needed, it will be deleted, anonymized or archived under appropriate conditions, depending on the nature of the data and applicable obligations.

11. How we protect data

We apply reasonable technical and organizational security measures to protect personal data against unauthorized access, loss, modification, disclosure or accidental destruction.

These measures may include limiting access to data, using secure passwords and accounts, periodically updating the site and technical components, backups, server protection measures, and internal rules regarding data access.
